Terms and Conditions for Events and Exhibitor Bookings
Please read this document carefully before paying for your stand to ensure that you understand and accept the terms and conditions set out below:
This document details the agreement between Beyond the Ordinary Events (the organiser) and any company, individual, partnership or organisation (the exhibitor) that participates in any Beyond the Ordinary Event.
Event stand/space will be allocated by the organiser in the interest of ensuring a well-balanced Event and the requirements of the venue.
Bookings are accepted on the basis of the description of products and services outlined on the booking form. Any deviation from the description must be with the written approval of the organiser before the event. The organiser reserves the right to ask you to remove any items on display which have not been declared previously on the booking form or agreed with the organiser prior to the Event.
The price of the stand/space is outlined on the booking form for each event.
Payment must be made in full BEFORE the event.
Payment is easy – simply use our Beyond the Ordinary Events direct online payment method.
The submitted booking becomes legally binding when the organiser acknowledges receipt of a completed booking form and payment.
Payment is non-refundable if you cancel your booking for any reason at all and is only transferable at the organisers discretion to another event should you be able to give 4 weeks’ notice before the booked event.
The organiser retains the right to re-sell cancelled stalls and/or spaces without prejudice.
Subletting or sharing a stand is not permitted unless you have the written agreement of the organiser at the time of booking.
The organiser reserves the right to refuse any exhibitor without giving a reason.
No extending or widening of your allocated stand/space is permitted – if a larger stand/space is required then please book a double stand/space, likewise if a stand/space has a pull up display or banner then this must be declared at the time of booking. The boundaries of the stand/space are the limit and extent for each exhibitor. NO goods, furniture, storage items, pull up banners etc. are permitted to block access to a neighbouring stand/space, aisle, doorway or fire escape.
Any failure by an exhibitor to set up their stand by the opening time of the event will be deemed as a cancellation and the organiser will be entitled to reallocate the space without refund.
No posters are to be attached to the walls of the venue by drawing pins, sticky tape, Blu Tack™ or similar. Any damage to a venue caused by an exhibitor will be charged accordingly.
Candles or any naked flames must not be lit on any stand. You may use battery operated LED candles.
Whilst the organiser takes every precaution to ensure a safe and secure environment for Events it is the responsibility of each stand/space holder to ensure that they have their own insurance to cover their goods and services as required by law and should have a minimum of £1 million Public Liability Insurance and a minimum of £1 million Professional Indemnity for any products and treatments given.
No responsibility will be accepted by the organisers for claims made against any products, services or treatments or for any loss or damage to exhibitors stock or equipment. However, it is essential for exhibitors to report immediately to the organiser any loss sustained.
Beyond the Ordinary Events accepts no responsibility for the failure of any exhibitor to arrange the required insurance cover.
Copies of current Insurance Certificates must be submitted to Beyond the Ordinary Events once a booking form and payment have been sent and the booking confirmed.
It is the responsibility of each exhibitor to be aware of any changes in legislation that affect their activities and to comply with such legislation.
Exhibitors will be expected to act with consideration and respect for other exhibitors, venue staff, visitors and the Beyond the Ordinary Events team at all times with no activity being disturbing or intrusive to others nor behaving in a manner that could bring the reputation and integrity of the Event into disrepute.
The organiser reserves the right to stop or remove any demonstration, display item or person deemed to be inappropriate or detrimental to its interests.
No advertising material can be distributed at the event that is not related to the exhibitors service or products listed on the booking form.
A designated area for business cards/flyers will be available which exhibitors are invited to use – the leaving of business cards/flyers at any other area of the venue, including the toilets, is not allowed.
The largest expenditure for each event is the publicity generated by the organiser through advertising and other distribution sources – it is in everybody’s interest to ensure that the event is a success. Please help by promoting the event on your website, social media etc. Banners have been created that are easy to download for you to use. Click here to see them.
Electricity is included in the cost of each exhibitors stand/space at most venues. When this is not possible, the cost will be clearly shown on the booking form.
Please bring your own extension cables as power points may not always be positioned next to your stand/space. All cables must be securely taped down and Beyond the Ordinary Events is not responsible for exhibitors whose cables cause any accidents to the public or other exhibitors.
Please ensure your equipment is checked to EEC regulations – all cables and electrical equipment must be in good condition and PAT tested to ensure the safety of other exhibitors and the public
Each venue differs and where possible tables and chairs will be supplied – when this is not the case it will be clearly stated on the booking information page.
You may choose to use your own table at an event where tables are supplied. Just let the organiser know when booking and ensure that it fits into your allocated space.
Your stand/space must be ready at least 15 minutes before the opening time and all aisles must be clear so that there is no risk of an accident to the public attending the event.
All tables must be covered with a cloth that covers at least three sides of their stand – front and each side – to ensure an aesthetic presentation for the Events
Exhibitor access for setting up will be announced in advance for each event, which will include access and parking details.
Set-up and breakdown of your event stand/space must only take place during the allocated times, which you will be given before the event. Exhibitors are not permitted to set up or dismantle stand displays or move merchandise within the venue while is it open to the public. Specifically, exhibitors must not commence breakdown at the end of an event until the public have vacated the venue.
Exhibitors are responsible for the removal of any waste material left behind at the end of the event. Any costs incurred by the organiser for the disposal of such materials will be passed on to the relevant exhibitor.
Beyond the Ordinary Events reserves the right to use any photographs taken by official events photographers of participants at the event and these will remain the property of the organiser, and the organiser reserves the right to use any such images to promote future events.
The organiser will, at all times, act in the best interests of the event and in doing so may from time to time alter the details of these terms and conditions if required.
Information is given by the organiser in good faith and is, to the best of their knowledge, accurate at that point in time. Any subsequent changes cannot be taken as cause to cancel the booking. Likewise, no omission or error on the part of the organiser can be held against them.
The organiser reserves the right to alter the overall layout of the event if necessary, which in turn may affect the location and dimensions of an individual stand/space. In the event that re-allocation of stand/space is necessary for any reason, the organiser will undertake as far as possible to allocate the closest equivalent stand/space. This eventuality does not constitute a violation of the contract and does not permit the exhibitor to revoke that agreement.
In the event of postponement or abandonment by the organiser the exhibitor shall not have any claim against the organiser. Any failure to settle a dispute related to these terms and conditions will be resolved in a court of law.

All products are displayed as accurately as possible on this website. However, due to each product being individually handmade and made from natural ingredients, variations such as slight colour and scent change may occur.
If you wish to cancel an order, please contact us as soon as possible.
If your order has already been dispatched, please return it unused, in perfect condition and in its original packaging within 14 days.
Please contact us and we will let you know the address to send it to.
Return postage is non-refundable.
In the unfortunate event that your product arrives damaged, or you have a complaint about your item, please contact us and we will arrange a refund or replacement.
In order to request a replacement or refund it is essential that you provide proof of purchase and photos of any damage to be able to do this.
Dispatch time will normally be within 1-3 working days.
All UK orders will be sent by Royal Mail. Upon dispatch, your order will be delivered in 3-5 working days.
International orders will be sent by Royal Mail Air Mail. Please note if customs charges occur you, the buyer, are responsible for the fees.
